BASECAMP TRAVEL | BOOKING TERMS & CONDITIONS
Participation in any travel programme organised by BASECAMP Adventure Sports & Travel (Greek National Tourism Organisation Licence No. 0206E60000407601) is subject to acceptance of these Booking Terms & Conditions, together with the specific terms, services and participation requirements applicable to each individual travel programme.
These Terms & Conditions are intended to provide participants with clear information regarding the booking process, payments, cancellations, insurance coverage, participant responsibilities and the particular conditions associated with adventure travel, multi-day trekking routes and mountaineering expeditions.
1. BOOKING YOUR PLACE
A booking is initiated by completing the online booking form for the relevant travel programme. Submitting the booking form alone does not secure a place on the programme.
To confirm a booking, the required deposit or the full participation fee must be paid in accordance with the terms specified on the relevant programme page. Places are confirmed on a first-come, first-served basis according to the date on which the deposit or full payment is received.
For bank transfers, the participant’s full name must be included as the payment reference and proof of payment must be sent to info@basecamp.gr. Once payment has been confirmed, the relevant payment document (receipt or invoice) will be issued. This also serves as confirmation of the booking.
2. PAYMENT SCHEDULE
Unless otherwise stated for a specific travel programme, payment is made as follows:
- 30% deposit to confirm the booking
- 40% no later than 50 days before departure
- 30% final payment no later than 15 days before departure
Where a different payment schedule applies to a particular programme, the specific payment terms stated on that programme’s page will take precedence.
3. PRICE & INCLUDED SERVICES
The participation fee, included services and any items or services not included are detailed on the page of each travel programme.
Additional services or activities that are not expressly listed as included are not considered part of the agreed travel package.
4. CANCELLATION POLICY
Each travel programme may involve different financial commitments to airlines, hotels, mountain refuges, local partners, transport providers, permit-issuing authorities and other service providers.
For this reason, the cancellation policy published on the page of the relevant programme constitutes the applicable cancellation policy for that specific booking, subject to any rights afforded to the traveller under applicable law.
Cancellations must be submitted to BASECAMP Travel in writing by email to info@basecamp.gr and will take effect from the date on which the cancellation notice is received.
Any amounts retained in accordance with the applicable cancellation policy due to non-refundable commitments or applicable cancellation charges cannot automatically be transferred or credited towards another travel programme unless otherwise agreed.
5. UNAVOIDABLE & EXTRAORDINARY CIRCUMSTANCES
Events beyond the reasonable control of the parties may affect the safe or proper operation of a trip. These may include, but are not limited to, extreme weather conditions, natural disasters, serious security issues, acts of war or terrorism, epidemics, travel restrictions, airport closures or other major disruptions to transportation.
In such circumstances, the provisions of applicable package travel legislation and, where relevant, the specific terms of the programme will apply.
6. CHANGES TO THE PROGRAMME
Adventure travel, and trekking and mountaineering expeditions in particular, takes place in environments where conditions can change.
BASECAMP Travel and/or the trip leader may need to modify the route, daily itinerary or specific activities when considered necessary for safety reasons or as a result of weather conditions, natural events, terrain conditions, access restrictions, transport disruption, an accident or another emergency.
During mountaineering programmes, conditions and risks are continuously assessed by the trip leader and guiding team.
The safety of the group is a primary consideration in all such decisions.
The statutory obligations of the organiser and the rights of travellers in the event of a significant change to the agreed travel services remain unaffected.
7. MINIMUM NUMBER OF PARTICIPANTS
Certain programmes may require a minimum number of participants in order to operate.
Where applicable, the minimum number of participants and the relevant notification deadline will be stated in the specific terms of the programme.
If BASECAMP Travel cancels a trip because the required minimum number of participants has not been reached, the refund rights provided under applicable law will apply.
8. NATURE OF ADVENTURE TRAVEL
Trekking routes, mountaineering expeditions and outdoor activities take place in natural environments and may involve risks that cannot be completely eliminated.
These may include, but are not limited to, difficult or exposed terrain, rockfall, snow and ice, avalanches, extreme temperatures, storms, high altitude, remote locations and delayed access to rescue services or medical assistance.
By registering for a programme, the participant confirms that they have been informed of its nature and level of difficulty and understand that participation in mountain activities involves inherent risks.
Acceptance of these risks does not limit any rights of the traveller or any statutory obligations of BASECAMP Travel that cannot be excluded under applicable law.
9. FITNESS & HEALTH
Participants are responsible for assessing whether they have the level of physical fitness, experience and technical ability specified in the participation requirements of the relevant programme.
Participants must also inform BASECAMP Travel in good time of any information that is material to their safe participation and that may require specific arrangements or support during the trip.
In the event of a health problem or accident during the trip, the trip leader and team will make every reasonable effort to provide assistance and to contact the appropriate rescue or medical services.
If a participant’s condition prevents them from continuing the trip, their withdrawal or evacuation may be necessary. The programme may continue for the remainder of the group where it is safe and practicable to do so.
10. PARTICIPANT RESPONSIBILITIES
Participants are required to:
- arrive on time for scheduled departures and activities
- follow the safety instructions of the trip leader and guides
- use the required equipment
- behave in a manner that does not place themselves or other members of the group at risk
- hold the required travel documents and check in good time any passport, visa, vaccination or other entry requirements
- take appropriate care of their personal belongings, money and travel documents
If a participant voluntarily leaves the group or chooses not to follow the agreed programme, any additional costs resulting from that personal decision may be borne by the participant.
11. INSURANCE COVERAGE
BASECAMP Travel holds Tour Operator General Liability Insurance through NP Insurance, Policy No. 2224017772, in accordance with the applicable regulatory framework.
This coverage should not be confused with the participant’s own personal travel, medical or mountaineering insurance. Where stated for a particular programme, additional personal insurance coverage may be available at an additional cost.
Indicative options currently available include:
Basic: Helicopter rescue coverage up to €25,000 and hospitalisation expenses up to €10,000.
Premium: Helicopter rescue coverage up to €25,000 and hospitalisation expenses up to €500,000.
Coverage, exclusions, limits, cost and duration are determined by the relevant insurance policy and insurance provider and may change. Each participant is responsible for ensuring that the personal insurance coverage they select is suitable for their destination and the activities in which they intend to participate.
12. OPTIONAL ACTIVITIES
Some trips may offer or provide access to activities that are not part of the BASECAMP Travel package and are provided by independent third parties.
Participation in such activities is optional. Before participating, travellers should ensure that they understand the provider, participation terms, requirements and insurance arrangements applicable to the activity.
13. TRAVEL DOCUMENTS
Each participant is responsible for obtaining in good time all travel documents required for the relevant destination.
Passport, identity card, visa, entry permit, vaccination and other documentation requirements may vary depending on the destination, the traveller’s nationality and the regulations in force.
Participants should check the official requirements of the relevant authorities well in advance of departure. Holders of foreign passports are responsible for checking the entry requirements applicable to their nationality.
14. LUGGAGE & PERSONAL BELONGINGS
Participants are responsible for the safekeeping of their personal belongings, money, electronic devices and travel documents throughout the trip.
In the event of loss or damage, the terms of the relevant transport provider, the participant’s personal travel insurance and applicable law will apply, as appropriate.
15. COMPLAINTS & ISSUES DURING THE TRIP
If a problem or failure to provide an agreed service occurs during the trip, the participant should notify BASECAMP Travel or the trip leader without undue delay, so that there is an opportunity to address the issue.
For matters that have not been resolved during the trip, the traveller may contact BASECAMP Travel in writing at info@basecamp.gr.
16. ORGANISER’S LIABILITY
BASECAMP Travel is responsible for the performance of the travel services included in the agreed package in accordance with applicable package travel legislation.
Liability relating to third-party services, transportation and other services is also governed, where applicable, by the relevant national and European legislation and applicable international conventions.
Nothing in these Terms & Conditions is intended to exclude or restrict any rights of the traveller or liabilities of the organiser that cannot lawfully be excluded or restricted.
17. ACCEPTANCE OF THESE TERMS & CONDITIONS
By completing a booking, the participant confirms that they have read and accepted:
- these Booking Terms & Conditions;
- the trip description and itinerary;
- the price and included services;
- the participation requirements;
- the specific cancellation policy applicable to the programme;
- the information relating to the nature and requirements of the activities.
The specific terms applicable to each individual travel programme form part of the booking agreement.
